Finally, and most importantly, please communicate to the families that access to the campus on 6/30 will be through the Rowing Center Gate.
This is because 6/30 is our first day of boot camp or Reporting-In Day. The Academy is trying to keep the two groups separate and the lines through both gates moving quickly. Access to upper campus will be blocked off for the day. I’ve attached a map for clarification.
On 7/1, whole campus access will be available again, and campus entry will once again be routed through the front gate (off of Route 32).

Teams are required to designate a representative to block off rooms for their team through OUR hotel portal and/or staff. We do not have a full “stay to play” policy but we do require 75% of your families/coaches to stay with one of our partner hotels through our website.

Dear Coaches and Parents,
We understand the concerns of the forecasted high temperatures for this weekend's tournament. The safety and well-being of every player, coach, umpire and spectator remain our highest priority.
At this time, the tournament will proceed as scheduled unless state or local authorities declare a state of emergency or conditions require us to make changes based on guidance from the appropriate officials.
Our tournament staff will implement heat safety protocols to the best of our ability. These measures will include water breaks, encouraging teams to stay in the shade between innings, monitoring field conditions, and adjusting play.
Coaches have an important responsibility to monitor the players in their care throughout the day. Because coaches are in close proximity to their athletes during games and between innings, we ask that they regularly encourage hydration, watch for signs of heat exhaustion or heat illness, and communicate immediately with tournament staff if any player appears to be in distress.
Heat-related illnesses can develop quickly. Please do not ignore symptoms such as dizziness, headache, nausea, excessive fatigue, confusion, muscle cramps, or unusual behavior. If a player is experiencing any of these symptoms, they should be removed from play immediately and evaluated.
We appreciate everyone's cooperation in making player safety our shared responsibility. By working together, we can provide a safe and enjoyable tournament experience for all participants.
That said, parents, guardians and most importantly coaches play the most important role in monitoring the players. You know your child's physical condition, medical history, and tolerance for heat better than anyone else. Please ensure your child arrives well hydrated, has plenty of water and electrolytes available throughout the day, wears appropriate clothing, and is monitored for any signs of heat-related illness.
If you believe the conditions are not appropriate for your child, we fully support you in making the decision that is best for your family to include removing from this tournament.
Heat Protocols established for the duration of the tournament;
1. Teams must have a designated water station, jugs, bottles or coolers available for all players throughout the game.
2. Teams must have a shaded area available for players and coaches. This area may be outside the dugout. Team are not required to stay in the “dugout area” between innings.
3. Games will have a two minute pause after each completed inning. (Example between bottom of first and top of second, between bottom of 2nd and top of 3rd etc.)
4. Games will have a reduced 2 hour time limit because of pause after every inning, see #3. Time continues to run during these breaks.
5. It is required for each coach/parent to check their players during this two minute pause for signs of heat exhaustion and ensure they stay hydrated.
6. The home plate umpire will call balls and strikes behind the pitchers mound.
TIPS:
Pre-Practice Preparation
Pack Extra Ice: Bring coolers filled with ice packs, wet towels, and backup water.
Identify Shade: Locate trees, tents, or air-conditioned rooms before activity begins.
On-Field Action Plan
Mandatory Breaks: Enforce hydration breaks during the two minute breaks in the shade. Parents and coaches must ensure player safety.
Buddy System: Pairing players up to actively monitor each other for warning signs is recommended.
Gear Removal: Remove helmets and heavy pads during all rest periods.
Electrolyte Supply: Provide sports drinks alongside water to replace lost salts.
Emergency Response Checklist
Call 911 immediately if a player becomes confused, vomits, or faints.
Move the Player: Get the athlete into shade or air conditioning instantly.
Rapid Cooling: Apply ice packs to the neck, armpits, and groin areas.
Fanning: Use towels or battery-powered fans to aggressively circulate air over them.
Sip Slowly: Give cool water only if the player is fully conscious.
